Job Description
We require a Personal Assistant based in either our Chelmsford office to provide support to a group of Senior Leadership Team (SLT) within the Transportation Division.
The role holder will provide support to a group of senior leadership members, also working collaboratively with the wider Transportation admin function. The role requires an experienced and flexible person to take a proactive approach to supporting and working within a high paced office environment ensuring the efficient operation of the Transportation business.
Essential Duties and Responsibilities:
Supplying an efficient Personal Assistant support service to several directors; the duties will include but are not limited to:
1. Managing diaries and organising meetings and appointments.
2. Booking and arranging travel domestic and international, transport and accommodation along with visas where required.
3. Produce and send monthly expenses.
4. Tracking and reminding the Senior Member of staff of important tasks, actions and deadlines.
5. Compiling and preparing reports, presentations, packs and correspondence.
6. Attending meetings where required taking minutes and actions, internally or with stakeholders.
7. Managing databases and filing systems.
8. Deputise for other Personal Assistants when necessary.
9. Monitoring and reporting on timesheets, PDR appraisals, and other group requirements.
10. Liaise with other support staff to provide support when required.
11. Ensure that the directors are and feel fully supported in all areas of administration.
Requirements:
12. Able to work well under pressure and prioritise workload accordingly.
13. Strong attention to detail with excellent interpersonal/communication skills.
14. Professional and confident manner.
15. To always maintain confidentiality.
16. Organised and efficient along with being flexible and approachable, also willing to pitch in with all tasks and assist when the pressure is on.
17. Positive proactive approach.
18. Excellent administration and communication skills.
19. Computer literate including working knowledge of Microsoft Suite (Outlook, Excel, Word. PowerPoint, SharePoint and MS Teams).
20. Good team player and willing to support the team.
21. Good organisation skills with ability to manage multiple tasks.
22. Good time management skills with ability to work to deadlines.
23. A proactive self-starter and problem solver with the ability to multitask in a fast-paced environment.
24. Can demonstrate critical thinking.
25. Ability to work autonomously.
