PA/Personal Assistant to CIO

About Our Client:
Our prestigious client, a leading international banking institution, is seeking a highly organized and proactive Personal Assistant to the Chief Information Officer (CIO). This role is an excellent opportunity for an experienced PA/EA to join a dynamic environment, supporting senior leadership and ensuring seamless day-to-day operations within the bank’s technology division.
Key Responsibilities:
1. Diary Management & Coordination: Proactively manage the CIO’s schedule, prioritizing key meetings and ensuring all necessary documents are prepared in advance.
2. Meeting Support: Monitor timekeeping for meetings, ensuring the Executive runs to schedule and all materials are ready.
3. Internal Coordination: Collaborate with colleagues across the group, including executives.
4. Confidential Information Management: Handle sensitive data and high-level queries with discretion and professionalism.
5. Travel Arrangements: Plan and manage comprehensive travel itineraries, including flights, hotels, taxis, and visas, ensuring smooth journeys for senior leaders and visitors.
6. Committee Secretariat: Support committees by collating and distributing papers, taking minutes, and tracking action points.
7. Communication & Reporting: Draft and send emails, prepare reports and presentations for high-level meetings, and assist in team/departmental updates.
8. CIO Mailbox Management: Ensure timely responses to important emails and track deadlines.
9. Event Management: Organize events and meetings for senior leaders and visiting executives.
10. Expense & Leave Approvals: Oversee travel expenses, approve claims, and manage departmental leave requests.
11. General Administration: Order supplies, maintain office housekeeping, and manage ad-hoc tasks as needed.
Experience required:
1. Proven experience as a Personal Assistant/Executive Assistant, preferably in the banking or financial sector.
2. Exceptional ability to manage complex schedules and prioritize multiple tasks.
3. Strong verbal and written communication skills, with the ability to draft professional correspondence.
4. Meticulous approach to managing sensitive information and preparing high-quality documents.
5. Comfortable using office software and systems for reporting, scheduling, and document preparation.
6. Experience handling confidential information with the utmost integrity.
