Our client, a reputable organisation is in need of administrative support and currently seeking a Secretary to join their team. As a Secretary, you will play a crucial role in providing administrative and secretarial support to fee earners, ensuring efficient service delivery to clients.
Responsibilities:
1. Electronic and Paper Files and Record Keeping: You will be responsible for setting up, maintaining, closing, and archiving all client entities/matters both electronically and on paper, in alignment with the team and organisation's policies and procedures. It will be essential to keep both electronic and paper filing systems up to date.
2. Typing and Correspondence: You will undertake various typing tasks, including letters, emails, correspondence, and other administrative tasks using the Big Hand system. It will be crucial to despatch all correspondence promptly and file them appropriately under client matters in the designated systems.
3. Diary Management and Meeting Preparation: Assisting fee earners with diary management and preparation for meetings will be an important part of your role. This includes organising meetings, appointments, phone calls, and maintaining fee earner diaries and court dates on the team diary system.
4. Handling Client and Caller Enquiries: As the first point of contact, you will answer phone calls professionally, take messages, and appropriately schedule appointments. You will also be responsible for handling routine email queries and meeting clients and others face to face when necessary. Ensuring accurate file notes and proper communication with fee earners is essential.
5. Assisting with Client Accounting: You will collaborate with the accounts team and assist fee earners in invoicing processes, including the monthly preparation of fee invoices. Your role will also involve processing client receipts, making payments, and managing client accounts.
6. Other Document Preparation and Distribution: Besides document preparation and distribution related to Wills, Trusts, and Probate Law, you will provide general support in photocopying, document preparation, and distribution. Additionally, you will be responsible for creating departmental file starter packs for new joiners.
7. Other General Administration Assistance: You will provide general administration support to fee earners and the organisation, which may include assisting with business development and marketing events, as well as coordinating refreshments for meetings.
Requirements:
1. Competent audio typist
2. Proficient in grammar, punctuation, and written communication skills
3. Competence in using relevant IT tools, such as Microsoft email and Office, digital dictation systems, and practise management systems
4. Excellent telephone manner with professional and effective verbal communication skills
