Job Purpose
In this role you will provide a high level of pro-active general administration support, business data management and project coordination to the Sales Director and Department Managers and Team members within Sales Operations. A key part of this role is to ensure that all processes and procedures within the Sales Team are adhered to and regularly reviewed to ensure suitability and compatibility with Company guidelines.
Core Specific Responsibilities:
1. Responsible for the gathering and collating of key performance data into suitable or prescribed presentation formats.
2. Responsible for managing Sales Team projects, providing project management support and co-coordination, ensuring that agreed budgets and timescales are adhered to and that any issues are highlighted. Additionally, to take specific responsibility for the management of certain tasks within key projects as directed.
3. Responsible for the clear and timely communication of any key messages within the Department including summary presentations on topics relevant to the Sales Department, as required.
4. Create and maintain a PowerPoint “library” of all presentation materials from Sales Team Meetings that can then be utilised by all in the Sales Team. Proactively suggest ways of improving how material is presented.
5. Take responsibility for ensuring that the Sales pages of PPN (Intranet) are up to date and relevant in their content.
6. Arrange monthly/ as required Network Sales meetings, including the preparation of agendas, gathering of materials, appropriate presentation formats, the taking and distribution of minutes and subsequent completion of agreed actions.
7. Responsible for the management and control of the Sales Team Budget ensuring that any issues are highlighted to Management. Proactively suggest cost efficiency ideas where appropriate.
8. Be the key internal point of contact for the Sales team with all other operational and support functions within the Company.
9. Provide general administrative support to the Management Team as required (e.g. ad hoc typing; management of post; management of invoicing). Within this, act as the Head Office liaison for the Regional Management Team, providing support as required.
10. Support the Director, Sales and other department managers with presentations and collateral in preparation for relevant meetings.
11. Coordination of the PAG/Sales Annual Business Plan including planning tool updates as required.
12. Manage and implement the P17 Special Vehicle Terms Directive liaising with both fleet owners and PCGB legal team to include the processing of all SVT applications, management of the SVT annual plan, SVT audits and training.
13. Support in the writing and reviewing of any Company Directives relevant to Sales in coordination with the relevant parties.
Professional Skills and Experience Required:
1. High level of numeracy with exceptional attention to detail.
2. High level of personal organisation.
3. Previous project management support and co-ordination experience.
4. Advanced PC skills; particularly preparing PowerPoint presentations and Excel data manipulation.
5. Proven track record of contributing to continuous improvement and innovation.
