Brook Street Recruitment is working with our client in Ballyclare to recruit a Sales Administrator.
Reporting to the Sales Manager, this is an exciting opportunity to join a successful business and provide valued key support to our central department
Duties
1. Place and monitor new vehicle orders using brand manufacturer IT systems
2. Set up customers in relevant systems for accurate invoicing
3. Plan orders effectively at the factory and liaise with suppliers, amending orders as needed
4. Manage purchase orders and coordinate with external and local suppliers
5. Communicate progress, manage risks, and update all key stakeholders regularly
6. Ensure compliance with homologation and Whole Vehicle Type Approval legislation
7. Register and tax vehicles correctly and liaising with the DVLA/DVSA
8. Issue invoices and follow up on payments
9. Providing administrative support to our new trucks sales team - updating various spreadsheets, providing dedicated cover for other team members for holiday periods etc
10. Maintain and update customer databases with accurate and up-to-date information
11. General office duties/ electronic filing/reports and any other ad hoc duties
Criteria
12. Previous relevant sales support experience would be highly desirable
13. Previous experience of completing administrative support tasks efficiently on a daily basis within a busy office environment is essential
14. Be educated to GCSE standard or equivalent, including Maths and English
15. Be able to communicate effectively at all levels, both verbally and written and both internally and externally
16. PC Literate with computer proficiency and demonstrable experience of using Microsoft Office packages
17. Previous experience of using a Customer Management system would be desirable
18. Possess strong organisational skills and excellent attention to detail
19. Have the ability to structure workload efficiently and be able to adapt to changing priorities
The working hours for this role will be 36 hours per week with flexibility regarding work pattern, however, hours must be worked daily across Monday to Friday.
