An excitingopportunity has arisen to work as part of the Integrated Safeguarding Team. Asthe Safeguarding Administrator, you will be involved with all of the functionsof the team (internal and external). The Integrated Safeguarding Team areresponsible for ensuring the Trust meets its legal and statutory safeguardingduties for children (including unborns), young people, and adults, including Prevent. You will be working as part ofa team supporting the safeguarding agenda, providing safeguarding advice and support and promoting best practice in the safeguardingof adults and children.
The IntegratedSafeguarding Team deals with information that can be upsetting on a dailybasis, and because of the nature of our work, this post would suit a candidatewho can demonstrate resilience, maturity, calmness under pressure and professionalism.
We are a verybusy, but friendly and supportive team. The Integrated Safeguarding Teamconsists of: Head of Safeguarding, Named Nurses for Adults and Children, NamedMidwife for Safeguarding, Safeguarding Officer, Named Doctor for SafeguardingChildren.
A full induction to the role will be provided to the successful applicant/s.
Main duties of the job
The successful candidate will provide full administrative support to the Named Safeguarding Professionals within the team; have excellent computer, written and verbal communication skills as well as experience of a busy office environment. We are looking to recruit a highly organised individual who is proficient in a range of software programmes such as Microsoft Office including Excel, Outlook, Power Point and Word. Due to the often changing nature of our work, this role would suit a person who has strong time management skills and the ability to prioritise effectively.

JobPurpose:
The post involves providing aconfidential administrative support service to the Integrated Safeguarding Team. The post holder will be expected to work ontheir own initiative and manage their own workload.
Key Duties
1.On behalf of the Integrated Safeguarding Team,to complete - without direct daily supervision - appropriate workload, ensuringrequired deadlines are met.
2.To provide a comprehensive Safeguardingadministration service to the Integrated Safeguarding team. Undertake the full range of administrative duties,including preparation of agendas, reports, minutes, dissemination of informationand other follow up actions.
3.Maintain and update personal filesfor the Integrated Safeguarding Team.
4.To maintain safeguarding alerts on appropriateTrust information systems.
5.To act as the first point of contact for theIntegrated Safeguarding Team, day to day management of the generic IntegratedSafeguarding Team mailbox.
6.Maintain effective systems of communication withinternal and external stakeholders and escalating concerns where thesearise.
7.Assist in maintaining the Integrated SafeguardingTeam Hub Intranet page, ensuring all information is current and correct.
8.To produce high quality documents as directed bythe Integrated Safeguarding Team including reports, spreadsheets,correspondence, presentations, newsletters and leaflets. Inputting of data ontoTrust systems in accordance with standard operating procedures.
9.Liaise with relevant agencies involved insafeguarding work, to ensure effective administration and communication withpartner agencies.
10.Ensure and promote a high level of confidentialityand safe custody of patient identifiable information.
11.Responsible for ensuring that all documentationproduced is in line with the Trust corporate standards and associated templates
12.Responsibility to seek supervision and directionwhen dealing with difficult, emotional or challenging issues.
13.To maintain an effective filing system (bothelectronic and paper) and information / document retrieval in line with theTrusts corporate systems, keeping records updated.
14. Supportthe team in overseeing and managing agreed actions and deadlines, ensuring thatprogress continues as agreed.
15.To interrogate health databases and variousother NHS IT systems.
16.Ensure that sufficient office supplies areavailable for the team.
17.To participate in relevant trainingopportunities required for the role

Competence

Codesof conduct

RecordsManagement
All employees of the Trust arelegally responsible for all records that they gather, create or use as part oftheir work within the Trust (including patient, financial, personnel andadministrative), whether paper or computer based. All such records are considered publicrecords and all employees have a legal duty of confidence to serviceusers. Employees should consult theirmanager if they have any doubt as to the correct management of records withwhich they work. Health and Safety Employeesmust be aware of the responsibilities placed on them under the Health andSafety at Work Act (1974) and the Manual Handling Operations Regulations (1992)and all relevant Trust Health and Safety Policies and Guidance. This ensures that the agreed safetyprocedures are carried out to maintain a safe environment for employees,patients and visitors to the Trust.
InfectionControl
Employees must accept personalresponsibility and accountability for Infection Prevention and Controlpractice. Employees should ensure theyare familiar with, and comply with, all relevant Infection Control policies forminimising the risk of avoidable Health Care Associated Infection. All Employees must undertake annual mandatoryupdates in Infection Control.
NonSmoking Policy
TheTrusts approach to smoking is in line with the governments on-goinginitiatives for an eventual smoke-free environment. It aims to adhere tothe Worcestershire Health Community Campaign to help Worcestershire stopsmoking.
A nosmoking environment policy exists within all Trust premises including entrancesand exits to hospital buildings and on other Trust property (with the exceptionof staff resident in staffresidences, as these are the homes of staff).In June 2014 a ban was implanted which meant staff, contractors and volunteerswere no longer permitted to smoke in any of the hospital grounds, including carparks.
Furtherto this, The Alexandra, Kidderminster and Worcestershire Royal Hospitals, haveall become smoke free to all patients and visitors as of 17 June 2015. This means that, as well as staff, members ofthe public, patients and visitors are not allowed to smoke in any of the acutehospital grounds, including car parks.
RiskManagement
It is a standard element of the roleand responsibility of all employees of the Trust that they fulfil a proactiverole towards the management of risk in all of their actions. This entails the risk assessment of allsituations, taking appropriate actions, and reporting all incidents, nearmisses, and hazards promptly. It is acontractual obligation that all employees must co-operate with anyinvestigations undertaken.
