Inthis role, you will be the face of the Academy, being our guests first pointof contact on the day. Supporting theCentre and Deputy Centre Manager on the day-to-day administration and operationsof the Academy, with efficiency, helping ensure the Academy achieves itslong-term strategic objectives in a safe and effective working environment.

Main duties of the job
The Events Administrator/Receptionist will be responsible forco-ordinating the enquiries and incoming bookings whilst providing aprofessional welcome and registration service throughout the day and act asclient liaison for trainers and delegates.Encompassing general administrative support to client and venueteam.
Working as part of a small close-knit team, you will be astrong support for the Centre and Deputy Centre Manager.
The role will involve a high level of interactionwith stakeholders, staff of all levels and learners.
Working closely with the Centre Managerand Deputy Centre Manager, you will build strong networks with Kings College HospitalNHS Foundation Trust and Kings Commercial Team, including Subject MatterExperts, Clinical Trainers, Finance, ICT, Marketing and Facilities Support, andliaison with external stakeholders.
You will represent the Academy as a keyadministrator, with the ability to analyse, interpret and synthesise dataincluding financial management and reporting. Excellent communications skillsand experience of contributing to reports, publications and presentations arealso essential.
This will be a busy and varied role requiring youto multi-task and to work to strict deadlines. You must be proactive andflexible in your approach to your duties and be able to work with minimumsupervision.

Job responsibilities
This role will be based in Kings Commercial Services, Kings Academy, London and the main purpose of the role will be:
1. Overseeing the Academy email inbox for enquires, bookings and dealing with enquiry booking forms, for new and existing bookings.
2. To co-ordinate and collate all relevant forthcoming events information and maintain exceptional customer service.
3. To co-ordinate the in-house LMS system LEAP which is a candidate booking system for the Academy. This will involve but is not limited to checking the day to day bookings, queries, ensuring Course Leads have uploaded their course content and assisting to enhance the candidate journey.
4. To provide professional arrival and registration services, welcoming and registering clients, trainers and delegates.
5. To have a strong visible presence throughout the Academy and assist with general requests such as photocopying, directions and any other reasonable requests.
6. To communicate client comments and complaints to the Deputy Centre Manager .
7. To troubleshoot any IT related issues as they arise, working as an advocate for the client and Kings Commercial Services.
8. Understanding, knowledge and ability to follow guidelines that ensures compliance with Health and Safety at Work, Data Protection and other statutory requirements.
9. Working as a team player with the ability to adapt to varied situations, ensuring that the centre performs to Kings commercial services standards and its operation is profitable by contributing to the growth, strategy, and smooth running of the centre.
10. To assist in the preparation of sales invoices.
11. To support in the preparation of reports.
12. Co-managing the social media platforms, including creating and posting content, establishing followers in line with the proactive promotion of the Academy.
13. To assist in actively selling and promoting the Academy by way of enquiry handling.
14. To ensure that all learning resources equipment is well maintained reporting all faults immediately to the ICT team.
15. To build relationships with facilitator and delegates alike ensuring all client preferences are recorded and recognised with the aim of giving exceptional client care.
16. To ensure that information is up to date in the system to allow event booking details to be accurately communicated to all team members.
17. To attend scheduled team meetings.
18. To manage the incoming phone system.
19. Coordinate incoming and outgoing courier and mail services.
20. Delivering excellent client relations to ensure client satisfaction.
21. To correctly produce the weekly and daily operational rota and communicate to the team.
22. To ensure that all bookings are up to date to allow for correct invoicing.
23. To ensure that the highest level of customer service is delivered in line with Kings Values
