Office Manager - Leading Civils & Groundworks Contractor
My Client is a leading Contractor in Essex, specialising in civil engineering, groundworks, and infrastructure works. They work alongside a host of house-builders and support a variety of other industries throughout East Anglia and the South East of England.
Job Description:
1. Managing and updating company database and systems
2. Purchasing office supplies when needed
3. Handling inbound calls and taking messages where required
4. Ensuring the office is presentable to visitors
5. HR responsibilities, ensuring employee database via Bright HR is kept up to date and issuing contracts where required in accordance with offer letters
6. Organising calendars and booking boardroom
7. Organising and booking hotel accommodation in line with budgets and ensuring all paperwork is kept up to date and in order
8. Co-ordinating with staff where necessary
9. Ensuring plant and vehicle records are up to date and oversee servicing records
10. Checking subcontractors hours against weekly timesheets and ensuring paid on time via Hudson Contractors
11. Managing and updating company policies, risk assessments, GDPR when required
12. Managing and updating all staff training
13. Supporting H&S Manager with updating records and any administration
14. Ensuring site welfare boxes are in place for the start of jobs
15. Negotiating and updating any existing contracts such as Utilities, Printer contracts, legal/HR advice portals
16. Maintaining Subcontractor database and ensuring insurances, qualifying questionnaires are updated
17. Supporting Accounts Department where necessary
18. Supporting Contracts Managers/Site Managers and Directors as required
19. Printing site drawings and distributing as required
20. Being proactive and able to anticipate and prepare all eventualities to a high standard
21. Overseeing any insurance claims for all companies
22. Maintaining asset register
23. Monthly analysis of order book and reporting/discussing any missing items with relevant parties
Salary: The salary on offer for this role is £30k - £35k + package, depending upon previous experience.
