My client is hiring for a PA for their London Office to provide full and comprehensive admin support primarily to the Global Heads, and other Senior Support Managers within the Office.
The job holder will have excellent admin and organization skills, strong attention to detail, flexibility, ability to multi-task with a can-do attitude and will thrive and deliver in a fast-paced working and professional environment. The role holder will work alongside a strong admin team consisting of the Executive Assistant, Senior Team Assistant, Receptionist and Office Manager. Together you will work collaboratively to ensure a completely smooth-running office.
Hours: 8am-6pm (can leave early on quiet days)
Hybrid working format: 1 day WFH
Responsibilities
1. Heavy calendar management; internal/external meetings and TEAMS conference calls (between multiple time zones)
2. Management of international and domestic travel using internal travel portal, e.g. Reed&Mackay and arranging hotel/apartment/accommodation/airport transfers where needed
3. Provide support to the London Office / Facilities Manager on a variety of office / health & safety activities and responsibilities
4. Build strong working relationships and collaborate with other global Admin Assistants in the Company
5. Management of incoming calls and sharing messages in a timely manner.
6. Processing visa requests for international business travel
7. Covering reception calls during lunchtime, holidays and when needed
8. Other admin responsibilities: weekly expense management (using Concur system), timely and accurate processing of invoices, PowerPoint presentations & preparing printouts of meeting materials
9. Supporting the wider office with ordering/arranging lunches, arranging office socials and general office related admin needs and projects.
Qualifications
1. Strong experience in a Team Assistant / PA support role within a corporate/financial services/professional services firm (minimum 5 years experience).
2. Well-presented, displays a high level of professionalism at all times, understands and demonstrates excellence in delivery, ‘high service’ focused.
3. Flexible, strong attention to detail, works well under pressure, demonstrates a ‘can do’ and positive attitude and thrives and delivers in a fast-paced environment
4. Clear communication skills and good ability to interact effectively with all levels of Management and employees.
5. Good experience with MS Office and Outlook and good general office admin skills/experience
6. Self-motivated with minimal need for supervision, strong attention to detail, can multi-task and collaborates well with others in a team to achieve high results
7. Proactive, able to problem solve, can deal with different time-zones effectively.
Experience
1. Min 5 years solid Assistant experience within a financial services (ideally asset management, PE Firm / hedge Fund) etc. They will look after: several Oil Desk Heads and a few Support Heads (mainly internal meetings (f2f and teams) and limited travel, hotel booking, expenses. Individuals are all friendly, down to earth, but expect excellent support in terms of delivery.
2. Someone who has strong experience managing multiple diaries, time zones and strong skills with admin ie expenses, travel, invoices
3. Person is interesting to support our office Manager with wider office management tasks
