Assistant Medical Secretary - Diabetes Nurse Service
An opportunity has arisen for a motivated and enthusiastic individual to support the Diabetes and Endocrinology Department as an Assistant Medical Secretary. This is a full time position on a permanent basis, although a job share/part time hours would be considered.
This is a varied and exciting role supporting a busy team of Clinical Nurse Specialists. We are looking for an individual who is highly motivated and who can work well as part of a team; in return, this post will offer excellent development opportunities.
The successful candidate will require excellent organisational and communication skills, be able to demonstrate the ability to work self-sufficiently, to use their own initiative, and be willing to be adaptable and flexible to meet the needs of the service. The individual must also have the ability to work well under pressure and have the desire to provide a first-class service for patients and the clinical team.
Previous experience of working within a Healthcare environment is desirable but not essential.
Main duties of the job
* Audio typing and reviewing patient letters and reports from digital dictation.
* Forwarding letters/reports by post, telephone or e-mail as required.
* Answering departmental phone calls in a courteous and professional manner.
* Liaising with patients and providing non-clinical advice such as dates and times of clinic appointments.
* Assessing the nature of an enquiry and dealing with it appropriately, asking advice from the Band 4 Medical Secretary if necessary.
* Opening, prioritising and date stamping mail daily.
* Using own initiative and managing own workload under the guidance of the Band 4 Medical Secretary.
* Ensuring all patient notes retained in the office or sent out of the office are traced on our Patient Administration System (EPR Maxims).
* Ensuring the patient's record on Maxims is complete, correspondence is scanned onto Maxims, and follow-up action is taken.
* Maintaining up-to-date knowledge of Departmental procedures.
* Obtaining patient's hospital notes from Health Records and other Departments.
* Understanding the 18-week pathway for patients and undertaking any relevant training required.
* Undertaking validation and 18-week tracking of patients with the guidance of the Band 4 Medical Secretary.

* RSA stage 2/3 or equivalent Medical Typewriting/Word Processing skills
