Reports to: Snr. Production Manager
Contract type: Full time
Job location: London E2 office
Salary: £28,000 to £30,000 per annum, depending on experience.
Hours: 09:30-18:00 (Flexibility will be required when working to deadlines or on shoots)

BASIC QUALIFICATIONS
Production Secretary is an entry-level position that doesn’t require any type of formal training or education. However, the production industry is a competitive field so you must be hard working and efficient. The job calls for excellent office skills, a calm and organised nature, and great attention to detail. The Production Secretary will possess good interpersonal and communications skills along with the ability to work effectively with a variety of staff from different disciplines. An intermediate level of IT skills is a must, with a good working knowledge of the Microsoft365 Suite.
OVERVIEW
The Production Secretary provides administration assistance to the whole Production team. You will mainly be office based, however this is more than a traditional secretarial role, and depending on the production you may also be required to perform the responsibilities of a Runner or Production Assistant out on location. You will need to be a brilliant multitasker, super organised and an excellent communicator.
Responsibilities will include:
· Assist in the organisation and running of the production office by monitoring and ordering office supplies and implementing cost-effective systems to eliminate wastage.
· Greeting visitors and making refreshments for meetings.
· Monitor the office management inbox.
· Be a central point of contact for the Production team, fielding questions and responding to requests.
· Book external crew, kit and locations for shoots include raising POs and drafting shoot contracts (rates to be approved by Production Managers)
· Assist on video and stills shoots where required as a Production Runner.
· Book couriers, travel, accommodation, catering etc. being wary of any budgetary constraints.
· Reconcile floats, advances and expenses, inputting these into cost managers via Plastics finance system.
· Create production documents including Callsheets, Risk Assessments, Schedules etc.
· Log and cross-check release forms and NDAs.
· Adding projects to the AdGreen Carbon Calculator as part of Plastic Pictures Sustainability Policy.
· Book project production meetings as instructed by Production Managers.

· Escalate any concerns to the Production Managers as necessary
· Production experience preferred
