We are recruiting for an experienced and highly organised Executive Assistant to support our Chief Operating Officer here at IBC Health Care.
An Executive Assistant to the Chief Operating Officer at IBC Healthcare, you will manage the COO's schedule, coordinates meetings, minute take during meetings with the wider Boad of Directors and handle communications to ensure smooth operations. You will assist in project management, prepare essential reports, and maintain confidentiality while serving as the COO's key point of contact for internal and external matters.
1. Salary – £30,000pa
2. Hours – 40 hours per week, Monday to Friday
3. Base: Leicester
Key Responsibilities:
4. Coordinate and manage the COO's daily schedule, including meetings, appointments, and travel arrangements, ensuring optimal time management.
5. Serve as the primary point of contact between the COO and internal/external stakeholders, handling all correspondence, prioritizing communications, and ensuring timely follow-up.
6. Organize and prepare meetings, including drafting agendas, gathering necessary materials, taking minutes, and ensuring action items are tracked and completed.
7. Support the COO in planning and executing various projects, coordinating with different departments to ensure deadlines and objectives are met.
8. Prepare reports, presentations, and other documents for the COO, ensuring accuracy and professionalism in all materials.
9. Handle sensitive information with the utmost discretion, always maintaining confidentiality.
10. Assist in the day-to-day operations of the COO's office, including budget tracking, expense reporting, and vendor management.
11. Build and maintain effective working relationships with a range of stakeholders and partners.
12. Support the wider SLT and Board of Director with general admin duties and high-profile stakeholder meeting, coordination and note taking.
Person Specification:
13. At least 3 years of experience as an executive assistant or similar role in a fast-paced and dynamic environment. (Desirable if worked within a care organisation)
14. Excellent verbal and written communication skills, with the ability to adapt to different audiences and situations.
15. Strong organisational and time management skills, with the ability to prioritise and multitask.
16. High level of discretion and confidentiality, with the ability to handle sensitive and confidential information.
17. Proficient in Microsoft Office, with the ability to learn new software and tools quickly.
A positive, flexible, and solution-oriented attitude, with the ability to work independently and as part of a team.
