The Assistant Procurement Officer will be responsible for managing the supplier onboarding and compliance processes, ensuring that all suppliers meet the club’s regulatory and operational standards. Additionally, they will handle lower spend procurement activities, allowing the Procurement Manager and Head of Procurement to focus on strategic, higher-value contracts and projects. The role requires attention to detail, strong organisational skills, and the ability to manage multiple supplier relationships simultaneously.

Key Tasks and Responsibilities:
* Manage the end-to-end supplier onboarding process, including conducting due diligence, verifying credentials, and ensuring compliance with regulatory and club standards.
* Continuously monitor supplier performance and compliance with contractual obligations, including health and safety, environmental policies, diversity, and data protection regulations.
* Act as the primary point of contact for suppliers during the onboarding phase and ongoing low-risk contracts.
* Execute procurement activities for low-value purchases (goods and services), working within predefined frameworks and category strategies.
* Develop RFQs (Request for Quotations), manage sourcing requests, and negotiate favourable terms with suppliers for low-spend categories.
* Support the management of supplier performance for low-spend categories, ensuring KPIs and SLAs are met.
* Assist the Procurement Manager and Head of Procurement with special projects as needed, providing administrative and analytical support.
* Maintain accurate records of supplier data, contract statuses, and procurement transactions and provide regular reports on supplier compliance and savings.
* Track and report on any risks associated with supplier non-compliance or performance issues, escalating critical matters to senior management when necessary.
Skills, Experience and Knowledge:
* Attention to Detail: Ability to meticulously manage supplier data, compliance documents, and procurement records.
* Negotiation Skills: Strong negotiation skills for managing supplier terms and conditions, especially in low-value contracts.
* Analytical Thinking: Ability to assess supplier performance data and identify risks or improvement opportunities.
* Communication & Interpersonal Skills: Excellent written and verbal communication skills to interact with suppliers and internal stakeholders.
* Organisational Skills: Capable of managing multiple tasks and suppliers simultaneously, with strong prioritisation and time management abilities.
* Problem-Solving: Ability to troubleshoot procurement and supplier-related issues independently or in collaboration with other teams.
* IT Skills: Proficiency in procurement management systems (e.g., ERP systems), Microsoft Office, and data analysis tools.
* Qualifications: Bachelor’s degree in Procurement, Supply Chain Management, Business Administration, or related field.
