Job summary
We are looking for an experienced Medical Secretary to join our busy practice providing secretarial support to our Practice Management, GPs and other Clinical Staff.
The successful candidate will be keen to learn and develop, attending regular training sessions as part of their personal development.
Previous Medical Secretary experience is desirable with knowledge of SystemOne and NHS E-Referral Service. Strong IT skills, customer service, admin, communication and organisational skills are essential.
Hours between 30 - per week Monday to Friday.
Salary dependent on experience.
Main duties of the job
Duties will be but not exclusive to :
1. To type letters, reports and other documents as required by the partners, Practice management and other team members
2. To process referrals using the e-RS system or other pathways as appropriate
3. To ensure that all referral letters are typed and sent within 48 hours (routine appointments) and 24 hours (2WW and urgent). Make hospital appointments for patients via e-referral system
4. To deal with any administrative and secretarial work as required by the GPs & Managers

5. To provide an efficient, copy typing and word processing service for GPs and health professionals as required. This includes the typing of letters, reports, patient referrals etc in an accurate and quality manner.
6. Use of the e-Referral Service system where appropriate; to assist in referral of patients to one or more hospital(s) of their choice which includes sending out relevant documentation.
7. Resolving problems which relate to the e-Referral Service. This includes changes to place of referral and dealing with rejected referrals.
8. To put all advice and guidance requests onto the electronic booking system, checking throughout the day for updates. Downloaded the response and passing to the relevant GP.
9. To assist the management team with all clerical and administrative duties.
10. To make appointments, bookings as required and expedite hospital appointments / tests as required.
11. Take messages for GPs from patients and other agencies.
12. To establish and maintain filing and administrative systems so that written or computer information is easily accessible and secure.
13. To receive incoming and initiate outgoing telephone calls in order to facilitate timely and appropriate communications with others, taking messages and dealing with appropriate queries.
14. To maintain the computer clinic system in an accurate and secure manner.
