It can get busy, but the culture, training and friendly teams are pivotal in ensuring customers feel supported. We're currently recruiting for an Executive Assistant to support our incoming Managing Director (MD) of Claims, Martin Milliner.
The Executive Assistant (EA) position is all about managing the day-to-day operations of the Claims office efficiently to align with our strategic goals. This includes handling diary, briefing, and inbox management, as well as collaborating with the Business Manager (of the Claims function) to fully support the MD of Claims. The role demands a proactive approach, as priorities shift often and rapidly. A keen sense of intuition and the ability to anticipate needs in any scenario are essential, along with the resilience to see tasks through to completion.
This role is a permanent, full-time role and will report into the Business Manager to our MD of Claims.
What you'll be doing:
1. Managing the Managing Director of Claims' inbox - acting as a gatekeeper - ensuring efficient responses are sent, actions are delegated and followed up on, and that deadlines are consistently met
2. Enhancing the MD of Claims' effectiveness by managing the daily operations of the Claims office, assuming responsibility for task prioritisation, in collaboration with the Business Manager
3. Dealing with sensitive information and maintaining the highest levels of confidentiality
4. Providing general admin support (e.g. meetings, travel and accommodation arrangements) - delivering the most cost effective and efficient solution
5. Supporting and managing, where appropriate, business processes on behalf of the Managing Director such as onboarding and offboarding, performance, annual leave, purchase order/invoicing, and expenses
6. Maintaining excellent relationships with relevant stakeholders - within the Claims function and more broadly, the wider EA and PA community across DLG
7. Ensuring that the MD of Claims is well prepared through managing the weeks (and months!) ahead, and ensuring that research, briefings, papers and actions are delivered on time and to the appropriate quality
8. Assisting with Projects and/or Communications & Engagement activities, which includes organizing Claims-wide events to ensure all logistical aspects are thoroughly considered and arranged.
9. Supporting with the Claims Leadership Team Meetings and/or wider offsites. This includes compiling the agendas, ensuring papers are distributed on time, tracking actions and follow-ups, and producing minutes where required.
What you'll need:
10. Experience providing PA/EA business support at the Group Executive Committee level or NED/Board members
11. Strong organisational and diary management skills, paired with a passion for structure
12. Ability to handle a high volume of work with a sense of urgency
13. Strong adaptability and flexibility
14. Commercial awareness and understanding the company's strategy, objectives, priorities, and performance
15. Excellent understanding of the interactions between people, processes and the employee lifecycle
16. Strong relationship management skills and an ability to work comfortably at all levels, including ExCo, Board & Company Secretary
