The Maintenance Control Centre Manager is responsible for managing the Maintenance Control Centre function through a small team of four maintenance Control centre administrators. The purpose of the role is to ensure effective cost control of vehicles and trailers using the Key2 Fleet Management System, and ensuring that both procedures and adjudication controls are applied relating to all non-fixed cost repair and maintenance expenditure for both Oxalis & our sister company FTL fleets. The MCC function has an annual spend of circa £7.0m, comprising of approximately 1300 assets for both Oxalis & FTL.
Key Duties and Responsibilities:
* Complete duties in accordance with the Company Health and Safety Policy, Maintenance Policy, Corporate TQM System and the Key2 Fleet Management System and ensure that all employees within the job holder’s sphere of responsibility do likewise.
* Ensure order numbers are issued in a timely manner to service providers via MCC using the Fleet Management system in line with procedures.
* Liaise with technical Fleet Engineers to support the adjudication process in line with the adjudication escalation requirements and also to assist with the adjudication process and to agree the most appropriate rectification work.
* Resolve invoice queries by utilising the Fleet Management system and specialist technical support in place.
* Liaise with service providers to ensure that they process invoices in a timely manner and also ensure accurate accruals are in place with the accounts department for any non-invoiced charges.
* Provide management information each month reflecting actual spend by contract, asset and causal factors; measured against budgeted spend.
* Manage the MCC function in line with agreed KPI’s.
* Ensure training is identified and provided for MCC Administrators through the PDR process, ensure adequate contingency arrangements are in place to maintain continuity of key tasks and succession planning.
Hours of work: 08:30 – 17:00, Monday to Friday (37.5 hours per week) with one hour’s unpaid lunch break per day.
Our ideal candidate will
* Have Supervisory / Management experience.
* Strong administrative skill preferably in a fleet management environment.
* Holds a CPC (Certification of Professional Competence) (Not essential)
* Conversant with MS Office.
* Have experience in using a Fleet Management system (Not essential)
* Have a minimum of intermediate excel knowledge
* Live within a commutable distance
