About The Role Administration AssistantJob Location: Paisley shared Service Centre Hours: per week Monday to Friday Salary: £, per annum based on hours per weekContract Type: Permanent Are you motivated, committed and enthusiastic? Could you be part of the administration support team delivering an efficient, effective, and proactive administration and mail room support services to the British Red Cross? We have a fantastic opportunity for you to join our administration support team as an Administration Assistant. You will be providing crucial support to a vital service.
A day in the life of a Service Administration Assistant:
1. To receive, open, distribute and record all incoming mail following organisation policy ensuring that priority mail is dealt with efficiently
2. To ensure all outgoing mail is franked, bagged and available for collection by Royal Mail and other carriers each day.
3. To undertake reception duties dealing with supplies, deliveries and visitors.
4. Assist in the management and allocation of meeting rooms ensuring that the rooms are appropriately laid out and ready
5. To ensure any facilities issues are reported promptly and to undertake any facilities duties as assigned to you.
6. Full lifecycle management of ID cards, including reporting, printing, packaging and disposal
7. Provide data processing services as required by teams in Shared Services to provide cover
8. Responsible for collation, ordering and distribution of stationery orders
To be a successful Service Administration Assistant you must have the following skills and experience:
9. Positive, passionate and enthusiastic approach to customer service
10. Confident in using telephone systems, bespoke company IT/data systems, Microsoft packages & Outlook (especially the ability to create, amend and manipulate Word and Excel applications)
11. General administrative duties; incoming and outgoing mail, answering the telephone and scanning, filing, meeting and greeting clients
12. Outgoing with excellent interpersonal and communication skills
13. Ability to deal with queries in a diplomatic, professional, sensitive and confidential manner (both verbally and in writing)
14. Ability to work accurately, with great attention to detail when checking documentation
15. Educated to standard grade level or equivalent
16. Well organised with sound administrative skills
17. Excellent customer service skills
18. Demonstrate a knowledge base in office organisational skills, post opening and distribution.
