Job Description: NRL are currently seeking a dedicated and organised Project Assistant to work alongside our client's team with the day-to-day upkeep and maintenance of site documentation. This role includes managing drawings, site files, and associated paperwork, as well as performing various other tasks as requested by the site/project manager.
Duration:
1. 6-month rolling contract on a 2-year project
Key Responsibilities:
2. Work closely with the site management team to ensure the safe and effective delivery of the project.
3. Maintain personal skill and knowledge levels to perform the job effectively.
4. Perform additional duties as directed by the line manager or management team.
5. Comply with relevant Company HSQE and welfare policy provisions.
6. Ensure operative records are accurate and kept up to date.
7. Manage project filing using document management software.
8. Handle document management and filing, including site drawings.
9. Distribute incoming mail and arrange courier/postal deliveries for the site.
10. Raise purchase orders through the company management information system (MIS).
11. Support supplier setup in the MIS.
12. Process client bills and invoices for payment through the company system.
13. Coordinate travel arrangements and other internal services for various site project needs.
14. Prepare minutes from Project Manager/team meetings.
15. Prepare correspondence, reports, and other documents as requested.
16. Assist with clerical needs on construction projects and any other duties as assigned.
17. Remotely assist other sections of the business, including mid and senior-level management.
18. Organize and manage preparation for the Considerate Constructor Scheme visits and audits.
Minimum Qualifications:
19. Ability to work independently, think creatively and analytically, and make quick and sound decisions.
20. Strong problem-solving skills.
21. Strong organizational skills, attention to detail, and ability to handle multiple tasks.
22. Excellent verbal and written communication skills.
23. Proficiency in Microsoft Word, Excel, Adobe and/or Bluebeam, and PowerPoint.
24. Basic knowledge of SharePoint, customer relationship management software, and Microsoft Teams preferred.
Desirable Qualifications:
25. Previous experience in a substation environment.
26. Experience with one or more cost management systems preferred.
Schedule and Work Activities:
27. 40 hours per week, based on 5 x 8 hour days
