To support the newly formed People Operations function; ensuring tracking and recording of each stage of the employee journey and developing our process flow management for user experience and business efficiency. You can build on your existing journey of administering and developing data flows in Bob, as a HRIS and grow your knowledge through working with an experienced People Ops Leader.
At this stage of AVK's growth, this role offers the opportunity to transform our data focus, consolidating our storage to a single source of truth and drive great data management and employee journey experience through our HRIS= Bob.
Key Responsibilities:
Employee Lifecycle Management (50%)
Input and manage all new joiners into Bob ahead of time to enable a smooth experience by the employee and company onboarding within 2 weeks, meeting all compliance to be conducted i.e. payroll data, onsite engineer requirement compliance checks, Right To Work checks, PPE provision etc
Own notifications of celebrations- birthdays, service and life events and drive through Bob in sync with employee data requirements and preferences.
Facilitate changes and performance review processes to record outcomes and provide documentation; making changes in Bob as needed i.e. for promotions to sync with payroll.
Process all leavers through Bob, coordinating with stakeholders to facilitate exit interviews, equipment handover and payroll management including expenses/ funding repayments if needed.
Supporting key moments of employee experiences by answering questions and providing documentation and letters as needed, in line with company policies. Data Management & Reporting (40%)
Migrating all employee data into the HRIS- Bob. Growing this to become our single source of employee data truth in 2025.
Ensuring employee journeys are managed in the HRIS (Bob) and continually looking to improve how we work more and more efficiently.
Provide regular and ad-hoc reporting for People Team and managers- as developed with People Ops Manager.
Maintaining knowledge of Bob functionality to support our growing employee needs. Events Coordination (10%)
Support the organisation of team events and activities e.g. People & Talent Team days, University open days (Talent team), Charity Days. Additional Responsibilities:
Keeping up to speed with developments in Bob: that could enable improved employee experience/ efficient data management.
Provide general administrative support as needed: to enable the team to run and collaborate well.Requirements
Experience in supporting every stage of the employee lifecycle- from onboarding through performance and salary review to offboarding.
HRIS fluency- Bob knowledge essential with confidence in report generation.
Logical, process-oriented thinking: able to connect stages of the journey and required tracking, e.g. levels of sign off in promotions mapped to the system functionality.
Data focus- Accurate and detail oriented.
Service oriented- motivated by employees having a good experience of the people processes and systems that support their employment journey.
Open in communication within the People Team - shares information frequently inside the team and yet maintains confidentiality outside it.
Ownership mindset: Follows through and escalates as needed to make sure things don't get missed, as small things have big impacts on employees.
Team mindset: Wants to connect with and play a part in a team, not be a solo hero.
Level 3 CIPD essential. Level 5 CIPD strongly desired. Solid understanding of HR principles re data management and employee rights.
