An opportunity has arisen within The Hewitt Fertility Centre our Knutsford site for an Administration Assistant/Typist, who is a bright, committed, and enthusiastic individual. You would be working within a rapidly developing service and should be able to demonstrate excellent communication skills. A background in an administration role including typing skills is essential.
Main duties of the job
Job role is for 12-month Fixed Term Contract
The post holder will be responsible for the administrative processes supporting all Hewitt Centre Knutsford clinics for both Private and NHS patients and for the registration of Transport and Satellite patients attending the Unit. They will be required to become proficient in the use of Information Technology and supporting technologies to enable the discharge of duties in an efficient and effective manner. The post holder will provide typing and administrative support to consultants and other staff within the Hewitt Centre, dealing with clinic correspondence, letters and reports as required. The post holder will also assist with telephone enquiries, filing and other associated administrative tasks.

Job responsibilities
Deliver a high level of customer service in all interactions with patients, their partners, relatives, carers, and other members of staff to ensure the highest standards of confidentiality, sensitivity and dignity are maintained at all times. Undertake booking and scheduling of all patient clinic appointments within the Hewitt Centre, communicating the information to the patients by the most appropriate method dependent upon the service / treatment arranged private / NHS, Andrology. Assist with the provision of a telephone answering service for patients who contact the clinical team directly ensuring the patient is passed to the relevant service or provided with the necessary advice. Register and prepare patient files for all NHS and private patients, including Transport and Satellite patients, entering demographic data on Digicare and IDEAS. Help maintain the Hewitt Centres case note filing system and ensure all notes are correctly tracked within, into and out of the reception office. Assist in the development and implementation of appropriate systems to support the clinical team and provide general administrative support as required. Support Departmental processes for the review and management of data quality issues related to booking and scheduling activity. Undertake other duties as required from time to time providing cover for other members of the booking and scheduling team.

Essential
1. Proven aptitude for clerical role.
2. Good level of numeracy and literacy skills
3. Able to communicate clearly both in verbal and written communications
4. Good keyboard & PC skills.
5. Working knowledge of Microsoft Office packages Outlook, Word, Excel.
