About the Role:
As an Office Administrator, you will play a crucial role in the organisation, control, and input of learner progress reviews onto a specialised shared computer system. This position is based at our clients Head Office in Strabane and involves ensuring full compliance with deadlines and accuracy of data. You will be responsible for routine tasks that are vital to the company’s infrastructure, supporting learners across Northern Ireland.
Key Responsibilities:
1. Carrying out specialised clerical and administrative tasks on a consistent and routine basis.
2. Using Microsoft Excel and tracking software to organise and control data, and to plan learner progress review dates.
3. Liaising with tutors and support staff weekly to ensure all learner progress reviews are conducted to a high standard within specified timeframes.
4. Verifying documents and maintaining a log of receipt of communications, ensuring they are uploaded by set deadlines.
5. Preparing, compiling, and sorting documents for data entry, ensuring accuracy and attention to detail.
6. Checking progress reviews for accuracy and completeness before uploading to the shared online system.
7. Maintaining confidentiality and adhering to GDPR regulations at all times.
8. Performing regular internal compliance audits to ensure quality standards are met.
9. General administrative duties including drafting emails, filing, photocopying, scanning, and answering telephones.
Requirements:
To be considered for this role, candidates should meet the following requirements:
10. Minimum of 5 GCSEs, including Maths and English at Grade C or above (or equivalent).
11. Excellent IT skills with accurate keyboard typing and confidence in using a range of Microsoft packages, particularly Excel.
12. Excellent literacy skills and attention to detail.
13. Self-motivated with excellent time management and organisational skills.
14. Forward-thinking with the ability to prioritise tasks and manage your own workload.
15. Methodical approach to work and enjoyment of routine tasks.
16. Strong problem-solving skills and the ability to use your initiative to meet deadlines.
17. Professionalism, enthusiasm, and motivation towards work.
18. Good communication skills.
19. Ability to meet deadlines and work under pressure.
20. Ability to work flexibly and effectively as part of a team.
21. Previous administrative experience is advantageous.
Location:
This role is based at our client’s Head Office in Strabane. You will work hours per week, Monday to Thursday from 8:45 am to 5:00 pm, and Friday from 8:45 am to 4:00 pm.
