Job description
Our client is seeking a Receptionist to work at their Winnersh office. The role involves a 3-month initial contract. The hours are Monday to Friday 8am - 4:30pm
Responsibilities:
Reception Services
1. Answer and appropriately direct incoming calls.
2. Greet visitors; determine nature of business and direct to appropriate individual.
3. Ensure completion of any visitor management tasks including review of Office Safety Induction Presentation.
4. Maintain guest and visitor sign in/out; oversee the distribution and return of employee and visitor access badges.
5. Assist in building or suite access control and the maintenance of a safe, healthy, and secure office.
6. Maintain local contact lists, if appropriate.
7. Maintain neat and organized front office area.
8. Manage conference room use, reconcile conflicts, and post schedules (if appropriate).
9. May assist with meeting setup, including procuring food and equipment.
10. May perform other duties in support of the facility team or general office, as needed.
11. Prepare and process incoming and outgoing mail (includes determining and affixing postage).
12. Maintain records on outgoing registered mail and packages, and reconcile charging errors as needed.
13. Handle special requests for mail, package, shipping-freight services.
14. Ensure compliance with all legislation related to the handling and shipping of materials.
15. May assist with mass mailings (generating distribution lists, labels, etc.).
Other duties
16. Respond to requests for facility maintenance or repair.
17. Ensure completion of routine and required building or equipment service.
18. Maintain equipment manuals and logs.
19. General Facility Support
20. Purchase and stock office supplies.
21. Follow appropriate standard supply and related cost charging guidelines.
22. Respond to internal requests for facilities service or repairs and contact property management or external providers as appropriate.
23. Assist with tasks related to facility management and appearance.
24. Assist with facility Health, Safety, Security, and Environmental tasks.
25. Support Plan Beyond goals and tasks related to Office Sustainability.
26. Create or order Jacobs identification badges, and provide building or suite access card management.
27. Direct staff to corporate guidance on offsite storage, and coordinate box storage and retrieval.
28. Upkeep of floor plans and other office information.
29. May track office utilization or update other Facility related data as needed or requested.
30. Other support to Real Estate Operations as needed or requested.
