The Service Manager is an integral part of the overall Divisional management structure and will support the General Manager and lead on operational management of a specified set of services within the Specialist and General Medicine Directorate, specifically Diabetes and Endocrinology & Respiratory.
The Service Manager will work closely with the General Manager to support the development of Internal Medicine services, including performance, and the management of day to day service issues.
Main duties of the job
1. Provide operational support to the General Manager to include day to day operational duties providing through others, administrative duties for meetings performance reports and supporting papers. Additionally, providing project management support to the management team as required.
2. Coordinate effectively to ensure administrative support is available to support the functions of the Division and senior team, delegating responsibilities as appropriate. The post holder will manage processes by using initiative in the absence of senior managers to ensure correspondence is responded to, queries are answered, and through dissemination of information and directives as appropriate, to other areas of the division/hospital to ensure prompt action is taken.
3. Plan and organise operational functions within the division to deliver efficient structures and processes to meet service targets whilst demonstrating appropriate influencing skills with supporting departments to ensure the needs of the service are met, including coordination of internal and external activities for the division. This will involve complex arrangements which often span several external organisations and to deal with difficult situations and scenarios and overcome barriers.
Job responsibilities
The role is responsible for a range of professional leadership duties including the operational and service line management of the waiting lists and clinic/diagnostic capacity within their designated area of responsibility as well as ensuring that administrative processes are co-ordinated and managed to deliver both governance and performance functions. There is also an expectation that the role supports the flow of patients and leads operationally on delivering this function across the medicine wards.
The post holder will be responsible for the coordination and review of performance monitoring, clinical governance reporting, project work and the development of business plans/production of reports as required. They will be required to take remedial action where necessary, suggest improvements and propose and implement new ways of working.
Through their own work and managing the work of others, the post holder will ensure that Directorate plans, systems, structures and processes for managing clinical quality, risk, controls assurance and local patient and public involvement initiatives are in place, and that these are carried out and managed efficiently. The post holder will be directly responsible for co-ordinating others to deliver timely and effective business support across the area of responsibility.
