Executive Assistant
Location: Flexible working with 2-3 days per week in the office (London-based)
Salary: £40,000 - £50,000 (pro-rata, depending on experience)
We are on the hunt for an exceptional Executive Assistant to support the Founder & Director at a leading event services agency. This is not just an EA role; it's an opportunity to be a strategic partner and a vital contributor to the company's ongoing success. You'll be the ultimate behind-the-scenes force: a master organiser, a priority gatekeeper, and the go-to person for making the impossible happen!
About the Role: As the Executive Assistant, you will play a pivotal role in ensuring the Director's time, energy, and focus are streamlined for maximum efficiency. You will proactively manage competing priorities, keep things running seamlessly, and act as the central link between the Director, the internal team, and external stakeholders.
Who You'll Be Working With:
* Line Manager: The Company Director
* External: High-profile clients and key suppliers
* Internal: Coordination across the Director's family, leadership team, and wider agency team
Key Responsibilities:
* Diary Management: Meticulously manage and organise the Director's calendar, scheduling proactively to avoid last-minute clashes.
* First Point of Contact: Handle all correspondence, emails, and phone calls with discretion, professionalism, and the highest level of confidentiality.
* Meeting Coordination: Prepare agendas, presentations, and reports for key meetings; track action items and follow up to ensure successful delivery.
* Project Management: Assist with special projects, driving them to completion within deadlines.
* Travel Management: Book and oversee complex travel arrangements, managing itineraries and handling last-minute changes efficiently.
* Event Support: Plan and execute team events, offsite meetings, and internal celebrations, managing logistics, budgets, and suppliers.
* Office Management: Oversee office supplies and processes, ensuring the Director's time is spent efficiently.
* Financial Admin: Process invoices, track payments, and manage expenses as required.
* System & Process Champion: Implement systems and processes to streamline workflows and save valuable time for the Director.
* Personal Support: Provide ad hoc assistance to support the Director's personal commitments alongside professional responsibilities.
What We're Looking For:
* A proven background as an Executive Assistant, Personal Assistant, or in a similar high-level support role.
* Exceptional organisational skills with the ability to prioritise, multitask, and stay two steps ahead.
* Proactive problem-solving abilities and a "no-task-too-small" attitude.
* Impeccable communication skills and the ability to liaise confidently with stakeholders at all levels.
* Discretion, reliability, and the ability to handle sensitive information with integrity.
* Strong proficiency in Microsoft Office (Excel, PowerPoint, Outlook) and experience with collaborative tools.
* A self-starter who thrives in fast-paced, dynamic environments.
* Flexibility to work across office, home, and on-site environments as needed.
